Organiser should thoroughly understand the implementation schedule of the training programme
for students, as given below:

Organise learners into groups
- Make a training timetable for the EduEasy package.
- These sessions can be phased out and scheduled as per the convenience of the Teachers, students and available lab hours.
- Get the list of all students in the school who will be participating in the training from the school authorities and share it with the ST Coordinator.
- Separate the students into 2 batches
- Those who are first-time learners
- Those who already know how to use computers a little (at least basic navigation on the desktop)
- Follow-up with the Principal for purchase of headphones before the training begins.
Registering on the website
Every institute should have their own dedicated Organiser.
The person intending to become an 'Organiser should
- Go to http://spoken-tutorial.org and click on Register
- Fill the details and click on Submit button
- Check their registered email-id Inbox for a notification mail (also check re-directs to BoxBe, Dropbox, and all other folders)
- Complete the formalities as given in the notification mail
Add me as an Organiser
Organiser should
- Login with their username and password
- Click on “Software Training” tab and then on “Training Dashboard” option
- Click on “Add me as an organiser” and fill all the details
- Inform the ST Coordinator to authenticate him/her
- Once again, check their registered email-id Inbox for a notification mail
- Once again, complete the formalities as given in the notification mail
Semester Training Planner
Organiser should
- Create separate CSV files for each batch of learners, in the following format
- First Name, Last Name, email-id, Gender
- Shanta, Tiwari, tiwarishanta123@gmail.com, Female
- Column headings are not to be filled and only the data is required
- Check for incorrect entries (extra spaces, extra characters, tab, Enter, etc…).
- Detailed instructions on creating a CSV file is found on this link - http://process.spoken-tutorial.org/images/f/fe/Master_Batch_upload.pdf
- Upload the CSV files using “Organiser” login.
- Raise a request for training for a particular Software Course (FOSS) for each batch of learners, as explained in steps 6, 7, 8, 9 below.
- Click on “Semester Training Planner Summary (STPS)]” by clicking on this link - http://spoken-tutorial.org/software-training/training-planner/
- There are 3 steps on this page. Click on each step and complete it before moving on to the next. Read all the Help Text that appears from time-to-time.
- Click on STEP 1: MB Master Batch Student List
- First, click on the Add Batch button at the top right of the page.
- Fill all the fields as mentioned below-
- In “Department”, choose “School”
- In “Year of Joining”, choose the year
- Next, browse and upload the CSV file created earlier
- Lastly, click on Upload Master Batch button at the bottom
- The batch you added will now appear on the screen
- Click on "Back to Semester Training Planner Summary" button at the top right
- PLEASE NOTE: WAIT FOR 48 HOURS BEFORE PROCEEDING TO STEP 2 AND STEP 3.
- 48 hours are required for validating the email-ids in the Master Batch

- Click on STEP 2: STPF - Semester Training Planner Form
- First of all, choose the semester in the pop-window that appears.
- Next choose Department and Batch
- In Training Type, choose "EduEasy Package"
- In “Semester Start Date”, choose the begin date for the Training
- Then choose the Software Course
- Lastly, click on “Submit” button.
- Likewise, raise a training request for each Software Course for each batch of learners. This is a one-time entry.
- Click on STEP 3: Select Participant List
- You will see all the STPs that you uploaded
- In the right-most column, locate a link named Participant List | Edit
- Click on Edit option, if you want to edit the STP
- Click on Participant List to mark the attendance for the participants
- Mark the attendance for each batch of participants. Once again, this is a one-time activity.
- Understand clearly that only those participants whose attendance is marked and who have a valid email-id, will be eligible to receive e-certificates at the end of the training programme (after passing the respective online test).
- Choose the language option to select the language in which the training will take place
- At the bottom, click on Submit button

Machine readiness before the training sessions begin
Organiser should
- Download the required content from the website. Refer to this link (http://spoken-tutorial.org/cdcontent/) for details
- Choose the Software Courses as per the hourly/weekly table on page 1 of this document
- Unzip the downloaded folder and copy-paste on all machines. After doing so, they should have a folder named “spoken” on all the machines
- Download and install the software as per the instructions given in the individual Installation Sheets. For details, contact the ST Coordinator over the phone. Alternately, wherever feasible, request the ST Coordinator to send someone to do the installation
- Understand that Firefox or Google Chrome web browsers are preferable for playing the tutorial
- Understand that Firefox or Google Chrome web browsers will be used in offline mode only and that Internet connectivity is not required
- Ensure that headphones are available - one for each learner OR on a twin-sharing basis
- Listen to some audio on each machine to check if the headphones are working
- Ensure that the Machine Readiness Document (http://process.spoken-tutorial.org/images/5/58/Machine-Readiness.pdf) is duly completed and signed by the “Organiser” and handed over to ST Coordinator before/soon after the Training sessions begin
- Take prints or photo-copies of the Instruction Sheet for each Software Course from the Trainer's Kit given to them – one for each learner – before the Training sessions begin
Before the first training session
Organiser should do the following before the first training session:
- Open the “spoken” folder that was copy-pasted on any one machine
- Locate readme.txt file and read it
- Locate the Instruction Sheet and read it
- Understand the importance of Instruction Sheet and read it at least once before the Training session starts
- Locate index.html and open it in the browser in offline mode. (No internet is required)
- Understand the importance of opening the index.html file in Firefox or Google Chrome web browsers
- Observe that Side-by-Side learning method video opens, by default, on the screen
- Select the prefered language to watch Side-by-Side learning method video in the drop-down above and understand the self-learning methodology
Typical training sessions
Organiser should ensure that the following steps are followed by all the students during the Training sessions:
- Open the “spoken” folder that was copy-pasted on their machine.
- Locate readme.txt file and read it
- Locate the Instruction Sheet and read it once
- Understand the importance of Instruction Sheet
- Locate index.html and open it in the Firefox or Google Chrome web browsers in offline mode. (No internet is required)
- Understand the importance of opening the index.html file in the browser
- Observe that Side-by-Side learning method video opens, by default, on the screen
- Select the preferred language to watch Side-by-Side learning method video in the drop-down above and understand the self-learning methodology
- Then begin with the first tutorial
- Practise the tutorial using side-by-side methodology
- Attempt the end-of-tutorial assignment in each tutorial for mastery of that topic
Training session duration
Organiser should understand that:
- The students can complete one Software Course in 1 week, as per the recommended schedule
- Typically, in a one-hour session, a Teacher can complete 2 tutorials thoroughly. So, a week is sufficient to complete all the topics in a particular Software Course in the EduEasy package
- He/she may schedule 1hour sessions for 3/4 days of the week OR 2 hour sessions for 2/3 days of the week, for the students
- Students should be advised to do self revision of the remaining topics, if a particular Software Course cannot be completed in one week, due to any reason
Assessment Tests
Organiser should
- Administer LibreOffice Assessment Tests to all the learners
- Administer GeoGebra, GChemPaint and KTurtle Assessment Tests to those who opted for these courses during the Training sessions
- Please Note:
- The Tests will be auto-evaluated and grades will be visible online in the participant's and the Organiser's Dashboards
- Understand that all who pass the Tests will receive Completion certificates
- Understand that those who don’t pass/don't appear for the Tests, will not receive any certificates
- Understand that certificates will be awarded at the end of the training programme, only after the ST Coordinator marks the training as “completed”
- Understand that certificates will be available online only. No hard-copies will be provided
